Private Stores

The Private Stores feature allows you to create stores for specific audiences, such as B2B stores, VIP stores, employee stores, and so on. A Private Store allows you to provide special pricing on specific products for a select group of shoppers. You can define which products you want to show in the Private Store and the price of those products. You can also control how shoppers access the Private Store.

Note: To create a Private Store for your site, you must first enable the Private Stores option for your site. Contact your Store Operations team to enable Private Stores on your site. See Configuring site settings for more information.

How Private Stores work

A Private Store controls what products a shopper can purchase, dictates the price for those products, and limits purchases to authenticated shoppers within the Private Store.

The Private Stores feature works at the site level. That means you must enable and set up a Private Store on a site-by-site basis. Companies with multiple sites can enable or disable Private Stores in one or more of their sites.

Benefits

  • Tap into new market segments with this audience segmentation capability
  • Avoid channel conflicts with a Minimum Advertised Price (MAP)
  • Liquidate overstocked items or items nearing end-of-life (EOL)
  • Strengthen partner relationships by offering discounts to their employees
  • Use purchase limits to prevent abuse of a discounted product price.
  • Fast set up of new offering without Digital River involvement

About target markets

When you create a Private Store, you create a "target market" that you can use to control the access and branding of your Private Store. With target markets, you can create a unique experience for different groups of your Private Store shoppers. Private Stores can have multiple target markets with different settings.

There are three parts to every target marketClosed A group of customers at which a company aims its products or services.:

  • Access Method—How Digital River authenticates the shopper when they access the Private Store to make a purchase.
  • Branding—Defines the look and feel of your store, including the theme, logo, and name.
  • Invitation Link—The link a shopper clicks to access your purchase plan store.

Access methods

An access method determines how a shopper can access a purchase plan. The following list describes the available access methods from most restrictive to least restrictive:

  • Email Address—The shopper must use their email address to access the Private Store.
  • Email Domain—The shopper’s email address must use one of the domains you specified entered for the Private Store. A domain is the end of the email address, such as the "digitalriver.com" in "jane.doe@digitalriver.com."
  • Email Invitation—The shopper can join the Private Store through an email forwarded to them from someone they know. The person who sent the invitation has to approve invite if the shopper places an order. A Private Store that uses this access method is also called "friends and family" plan.
  • Generic Identifier—The shopper must enter a name and a PIN created for the Private Store. Private Stores can have multiple names and PIN combinations used to access the plan.
  • IP Address—The shopper must be on a network using a specific IP address or an IP address within a defined range.
  • Referral URL—The shopper must click a link to access the Private Store.

You can use more than one access method in a target market to provide additional authentication for a Private Store. Some access methods you cannot combine with other methods because of how those methods provide access to a Private Store. The following table outlines some recommendations for combining access methods in your Private Store.

Access Methods How It Would Work
Email Address and IP Address

Shoppers must enter a specific email address to access the Private Store from a computer with a specific IP address. This is the most restrictive (secure) combination of access methods.

Referral URL and Generic Identifier Shoppers click a link and then enter their login credentials (name and PIN) that you have provided them. This combination works well when you distribute your Private Store information through email marketing.

You can add another level of authentication by requiring shoppers to enter a specific email address or use an email address from a specific domain to complete checkout. When you use this option, the email address or email domain effectively becomes an additional access method for the Private Store. The shopper can use this additional access method to access and place an order within the Private Store.

You can use Advanced Settings to set order-level authentication for the access method.

Branding

The branding for a target market determines the name the shopper sees when they visit the store, the theme used to control the look and feel of the store, and the logo that appears in the store. You can define different branding for each target market, thus creating a uniquely branded shopping experience for different groups of users.

When you create a Private Store, you can also define the branding for the store. If you do not change this for a target market, the target market will use the branding you have defined for the Private Store as a whole.

Invitation link

You can give shoppers in a target market an invitation link by inserting the link into a web page or email). An invitation link is a URL that allows invited shoppers to access the Private Store. The invitation links are different for each target market, so make sure you send the right link to the shoppers you want to access the target market.

Once you create a target market for a Private Store, you also automatically create the invitation link for the store.

Private Store Exclusive Products

You can use the Private Store Exclusive Products feature to restrict some products exclusively to a Private Store. When you enable this feature, you can sell products that are not available in the Public Stores. See Private Store Exclusive Products attribute in Configuring company settings for more information.

You can create products exclusively for Private Stores. These products remain hidden from the Public Stores to prevent shoppers from seeing them or purchasing them in a Public Store. Shoppers can still find these products by using Google search or a product ID search. When you create a product, you can choose to make that product available for the Public Store and Private Store or the Private Store only. See the Available For attribute in Product Settings for more information.

Before you set up a Private Store

You can use a wizard to create a Private Store. The wizard walks you through the creation process step-by-step. The settings define how the Private Store behaves and how shoppers interact with the Private Store. You should know how you want your Private Store to behave before you create it. Once you answer the following questions, using the Private Store wizard will be easier.

  • How do you want to validate shoppers who want to access the Private Store?

    Example: Do you want to use a shopper's email address or IP address to verify that they can access your Private Store?

  • What price list will the Private Store use by default?

    Example: To set special prices for your Private Store, you must associate your Private Store with an existing price list on your site.

  • What type of discount or special pricing do you want your products to use in the Private Store?
  • Do you want to limit how many times a shopper can purchase products from your Private Store?
  • What theme will your Private Store use? Do you want to use a special theme based on how you validate the shopper's access to your store?

    You can define a default theme for your Private Store when a shopper accesses your store without validation. You can also define another theme for your Private Store when a shopper uses their email address to validate their access. This allows you to control the look and feel of your Private Store for the different groups of shoppers based on how they access your store.

  • How long do you want the Private Store to be active?
  • What products will be available in the Private Store? Will products be discounted or priced differently, or will all products in the plan be priced and restricted the same?
  • What type of marketing offers (if any) will you use to promote your Private Store?

How restrictions are enforced

When a shopper places an order for a product in a Private Store, the system logs that purchase when the shopper submits the order. This includes orders for preorder products, orders that are not immediately fulfilled, and orders using a delayed payment method.

When a shopper submits an order, the system triggers the restrictions that you set for the Private Store.

Product selection

You add products to Private Stores in groups. This allows you to define pricing and purchase restrictions differently for each group of products in a Private Store. A product can only be in one group within a Private Store, but you can add the same product to groups in multiple Private Stores on the site. You can create one or more product groups per Private Store.

Note: Variations do not appear in the product result. After you add the base product, click the + icon to see the variations.

Note: To use Product Combinations, you must set the Discount option under the Product Group tab on the Products & Pricing Page to Use Default or set the Discount option to Same for all products within this group if you select Custom.

Microstores

The branding for a Microstore determines what the shopper sees when they visit the store. You can define branding (theme and logo) for each store, thus creating a uniquely-branded shopping experience for each group of users.

You can create one or more Microstores per Private Store. A Microstore creates a unique experience for a group of shoppers in your Private Store. You can set the following items for each Microstore:

  • Theme
  • Logo
  • Default Landing Page
  • Store access for different groups of authorized users by different access types
  • Promotions
  • Ability to separate access for login and checkout (currently Microsoft only)
  • Access revalidation rules

Store access

When you create a Microstore, you can create rules that determine who can shop a Private Store. Once a shopper signs in to the Private Store, they can browse products and complete a purchase just as they would on your normal site.

There are six main authorization types you can use to validate shoppers for your Private Store. You can combine theses Store Access methods to make the Microstore more secure.

  • Email Address
  • Email Domain
  • Email Invitation
  • Generic Identifier
  • IP Address
  • Referral URL

Marketing Private Stores

You can use Merchandising Offers to create a completely different experience on a Private Store versus a Public Store. You can:

  • Change your home page banner
  • Provide different discounts
  • Share promotions between public and Private Stores

You can apply offers to:

  • Public Store
  • Private Store
  • Both Public and Private Stores (some restrictions apply)

When you select a Private Store, you can apply an offer to all or a subset of Microstores. This is useful when you want to create Microstore-specific promotions for display on pages or discount products in a Private Store brand differently.

ID

The Private Store's ID.

Internal Name

The name of the Private Store as it appears in Global Commerce. The internal name appears as a reference in reports.

Note: The shopper will not see the Private Store's internal name.

Status
  • Designed/Deployed—Search for Private Stores in the Designed or Deployed state.
  • Design—Search for Private Stores in the Design state. When you first create and save a Private Store, it is in the "Design" state. Shoppers cannot see this Private Store.
  • Deployed—Search for Private Stores in the Deployed state. This version has no outstanding changes, and the shopper can see the Private Store.
  • Retired—Search for Private Stores in the Retired state. Shoppers cannot see this Private Store.
Effective Date Range Enter the start date and end dates for the effective date range in the Beginning and Ending fields.
Deploy Deploys the selected Private Stores.
Retire Retires the selected Private Stores.
Copy Copies the selected Private Store.

Details
Internal Name

The name of the Private Store as it appears in Global Commerce. The internal name appears as a reference in reports.

Note: The shopper will not see the Private Store's internal name.

Storefront Name The name of the Store as it appears to shoppers in email notifications. Choose one of the following options:
  • Same as Internal Name—Choose this option when you want the Storefront Name to be the same as the Internal Name.
  • Custom—Choose this option when you want the Storefront name to be unique.
Description

A description of the Private Store.

Note: The shopper will not see the description of the Private Store.

Start Date

The first day when shoppers can access your Private Store. You must deploy the Private Store before this date so that the store can go live on this date.

Choose one of the following options:

  • Start Private Store Immediately—Select this option if you want the Private Store to start immediately.
  • Start Private Store on Specific Date/Time—Select this option if you want the Private Store to start on a specific date and time, and complete the fields.

    Note: If you set a Start Date that occurs in the future, you will not be able to preview the Private Store until that date.

You can create multiple Private Stores and set the Start Date for one store to begin when the End Date for another store ends. This allows you to provide constant coverage while adjusting the products and pricing as time goes on.

End Date

The last day when shoppers can access your Private Store. Choose one of the following options:

  • No End Date—Select this option if you want the Private Store to continue indefinitely. Shoppers access your Private Store until you retire the store.
  • End Private Store on Specific Date/Time—Select this option if you want the Private Store to end on a specific date and time and complete the fields. When the Private Store reaches the end date, the Private Store expires automatically, and shoppers can no longer access the Private Store.
Products & Pricing
Base Price

Select the price list type from the Base Price list. By default, Global Commerce uses this list to determine the price of products sold and calculate discounts.

Note: The Base Price will only be VAT inclusive if the selected price list type is VAT inclusive.

Discount Use the toggle to enable or disable the product discount. When toggled to ON, you can set a flat percent or amount off by product or tag that Global Commerce will apply to all products in the Private Store. The system only discounts products that appear in the Private Store. If the product resides outside the Private Store, the discount only applies when you set up the offer for both private and Public Stores (that is, order level, category, and so on).
Set Discount

Specify the default product discount for all groups. Choose one of the following options:

  • Percentage Off—Choose this option when you want to discount the price of the product by a percentage of the cost and enter the percentage value.
  • Specific Amount Off—Choose this option when you want to specify how much you want to discount (subtract) from the price of the product, and enter the amount off.

This attribute only appears when you set the Discount toggle to ON.

Specify Products By Choose one of the following options:
  • Product—Choose this option when you want to select the products you want to add to the Private Store.
  • Tag—Choose this option when you want to add products associated with a specific tag to the Private Store. See Product Settings for information on tagging a product and Managing tags for information on how to categorize your products.

Note: If you assigned products to a group.

Price Displayed to Shoppers

Choose one of the following options:

Products Eligible for Purchase

Choose one of the following options:

  • All Products in Catalog—Choose this option when you want your Private Store to show all products in your catalog. This allows shoppers to purchase from all products in your normal store.
  • Only Products in a Product Group—Choose this option when you want your store to show only products that appear in a Product Group. This allows shoppers to purchase only products within the Product Group.

This attribute only appears when you expand the Advanced Settings pane.

All Products

Lists all products available products. That includes products associated with a product group and products that are not associated with a product group.

This tab only appears when you select the Product option for Specify Products By.

ID

The Private Store's ID.

Products  
Internal Name

The product's internal name as it appears in Global Commerce. The internal name appears as a reference in reports. Click the + icon to expand the list.

Note: The shopper will not see the product's internal name.

Group(s) Select one or more groups that you want to search from the list.
SKU

Provide the stock keeping unit (SKU). A SKU is a unique identifier to track and manage inventory. It is a code or number assigned to a specific product or item in a store or warehouse. SKUs distinguish between different products, variations, or versions and are often used in inventory management systems to facilitate product tracking, ordering, and restocking.

Status
  • Designed/Deployed—Search for Private Stores in the Designed or Deployed state.
  • Design—Search for Private Stores in the Design state. When you first create and save a Private Store, it is in the "Design" state. Shoppers cannot see this Private Store.
  • Deployed—Search for Private Stores in the Deployed state. This version has no outstanding changes, and the shopper can see the Private Store.
  • Retired—Search for Private Stores in the Retired state. Shoppers cannot see this Private Store.
Add to Group

Add the selected products to a group.

Note: You can only assign a product to one group. If you try to assign a product to multiple groups, an error message appears.

Tag Name The name of the tag associated with this product.
Group Shows the group associated with the product. This field is blank when the product is not associated with a group. Click the link to view the group.
Currency

The currency associated with the locale.

Locale List the locales associated with your Private Store. Click the + icon to expand the list.
Base Price

The price list associated with the product.

Private Store Price The price of the product after calculating the group's discount.
New Product Group Lists all products associated with the group. A product group is a collection of products with the same discount and purchase restriction needs. You can create one or more product groups. The number of products in the product group appear in parenthesis next to the product group's name.
Name

Enter the name of the product group. The tab's label changes to the name you entered in this field once you change the focus by clicking another field or choosing another option.

Note: The shopper will not see the name of the product group in the Private Store. The product group name appears as a reference in reports and other applications.

Description

A description of the product group.

Note: The shopper will not see the description of the product group.

Discount

You can either use the default discount configured at the Private Store level or configure a custom discount at the product group level. Choose one of the following options:

  • Use Default—Choose this option when you want to use the default discount configured at the Private Store level.
  • Custom—Choose this option when you want to specify a unique product discount for this product group.
Set Discount

Specify the product discount for this group. Choose one of the following options:

  • Percentage Off—Choose this option when you want to discount the price of the product by a percentage of the cost and enter the percentage value.
  • Specific Amount Off—Choose this option when you want to specify how much you want to discount (subtract) from the price of the product, and enter the amount off.

These options appear when you choose the Custom discount option.

Discount Options Choose one of the following options:
  • Same for all products in this group—Choose this option when you want to specify an amount off for all products in this group.
  • Different for each product in this group—Choose this option when you want to specify a different amount off for each product in this group.

You need to select Specific Amount Off to enable the Discount Options.

Shopper Restrictions

You can restrict how often a shopper can purchase products from the Private Store if needed. By default, there are no shopper restrictions.

Use the toggle to enable or disable shopper restrictions. When toggled to ON, you can limit how many products each shopper can purchase.

This attribute only appears when you expand the Advanced Options pane.

Maximum Quantity per Shopper

Specify the maximum number of products a shopper can purchase.

This attribute only appears when you toggle the Shopper Restrictions to ON.

Maximum Quantity

You can specify how you want to limit the Maximum Quantity per Shopper. Choose one of the following options:

  • Accumulates Per Product—Choose this option when you want to specify the shopper's maximum quantity per product.
  • Accumulates Across All Products In This Group—Choose this option when you want to specify the shopper's maximum quantity per product group.

This attribute only appears when you toggle the Shopper Restrictions to ON.

Shopper Can Purchase the Maximum Quantity

You can control how many purchases a shopper can make in a Private Store by timeframe. Choose one of the following options:

  • Once Per Lifetime of the Private Store—Limits the maximum quantity of products each shopper can purchase over the lifetime of the Private Store.
  • Every Month—Limits the maximum quantity of products each shopper can purchase in a month (for example, one purchase per month).
  • Every Quarter—Limits the maximum quantity of products each shopper can purchase per quarter (for example, three purchases per quarter).
  • Every Year—Limits the maximum quantity of products each shopper can purchase in a year.
  • Every Number Day(s)—Limits the maximum quantity of products each shopper can purchase during a specified number of days (for example, two purchases every 14 days).
  • Every Number Month(s)—Limits the maximum quantity of products each shopper can purchase during a specified number of months (for example, one purchase every 4 months).

This attribute only appears when you toggle the Shopper Restrictions to ON.

Line Item Restrictions

Limits the minimum or maximum product quantity for each line item in an order. Choose one of the following options:

  • Product ID-Based Minimum and Maximum—Select this option when you want to use the minimum and maximum quantities associated with the Product ID.
  • Custom Private Store Minimum and Maximum—Select this option when you want to customize the minimum and maximum quantities per line item. Choose one of the following options:

    • Minimum Product Quantity Per Line Item—Choose No Minimum if you do not want a minimum quantity per line item or enter a number in the field if you want to specify a minimum quantity per line item.
    • Maximum Product Quantity Per Line Item—Choose No Maximum if you do not want a maximum quantity per line item or enter a number in the field if you want to specify a Maximum quantity per line item.

This attribute only appears when you expand the Advanced Options pane.

Microstores  
Default Settings Email communications and the storefront for all Microstores use these settings unless you select custom settings per Microstore.
Theme

Select the theme you want to use for your Microstore from the list.

Logo

Select the logo you want your Microstore to use. The supported file types are as follows:

  • BMP
  • GIF
  • ICO
  • JPG
  • PNG

Choose one of the following options:

  • Select—Allows you to upload one or more logos.
  • Delete—Deletes the currently selected logo from the Logo field.
  • View—Allows you to view the logo in a window.
Default Landing Page

Choose one of the following options:

  • Private Store Home Page (Default)—Choose this option when you want shoppers to see the Private Store's home page after they sign in. By default, this page displays a list of products.
  • Public Store Home Page—Choose this option when you want shoppers to see the Public Store's home page after they sign in.
Access Revalidation Process

If the Microstore has the Store Access Type of Email Domain, use the toggle to enable or disable the Access Revalidation Process. When toggled to ON, this process forces the shopper to revalidate their access to the Microstore based on the specified timeline. When a shopper receives a revalidation email, they must click the URL to validate that their email domain is still valid. This ensures that shoppers who no longer have an email address with that email domain cannot access the Private Store.

Process Occurs Every

Specify the number of days, weeks, or months when the Access Revalidation Process occurs.

This field only appears when you toggle the Access Revalidation Process to ON.

Starting

Specify the date when the Access Revalidation Process starts. This field displays the current date by default.

This field only appears when you toggle the Access Revalidation Process to ON.

New Microstore

The branding for a Microstore determines what the shopper sees when they visit the store. You can define branding (theme and logo) for each store, thus creating a uniquely-branded shopping experience for each group of users.

The Create Private Store wizard copies the default settings from the Private Store to the Microstore by default.

Internal Name

The name of the Microstore. The internal name appears as a reference in reports.

Note: The shopper will not see the Private Store's internal name.

Storefront Name

The name of the Microstore as it appears to shoppers.

Choose one of the following options:

  • Same as Private Store (Custom Name)—Choose this option if you want to use the Private Store's name.
  • Custom—Choose this option if you want to enter a custom name for the Microstore.
Description

A description of the Microstore.

Note: The shopper will not see the description of the Microstore.

Theme

You can either use the default theme configured at the Microstores level or choose another theme at the Microstore level. Choose one of the following options:

  • Use Default—Choose this option when you want to use the default theme configured at the Microstores level.
  • Custom—Choose this option when you want to use a unique theme from the Microstore and select the theme from the list.
Logo

You can either use the default logo configured at the Microstores level or choose another logo at the Microstore level. Choose one of the following options:

  • Use Default—Choose this option when you want to use the default logo configured at the Microstores level. Click View to view the logo in a window.
  • Custom—Choose this option when you want to use a unique logo for the Microstore. Choose one of the following options:

    • Select—Allows you to upload one or more logos.
    • Delete—Deletes the currently selected logo from the Logo field.
    • View—Allows you to view the logo in a window.
Default Landing Page

Choose one of the following options:

  • Same as Private Store (Private Store Home Page)—Select this option when you want shoppers to see the Private Store's home page after they sign in. By default, this page displays a list of products.
  • Custom—Choose this option when you want shoppers to see a custom landing page after they sign in.
Microstore Landing Page

Choose one of the following options:

  • Private Store Home Page (Default)—Choose this option when you want shoppers to see the Private Store's home page after they sign in. By default, this page displays a list of products.
  • Public Store Home Page—Choose this option when you want shoppers to see the Public Store's home page after they sign in.

This attribute appears when you select Custom for the Default Landing Page.

Separate Access From Checkout

If the Microstore has a Store Access Type of Email Address or Email Domain, select Yes or No to enable or disable the Separate Access From Checkout. When you select Yes, the system performs revalidation against the Domain Access Email ID. This allows the shopper to sign in with one email address or domain and check out with a different one.

Note: Check with your Store Operations Team to ensure that your site supports this feature.

Access Revalidation Set Up

Choose one of the following options:

  • Same as Private Store—Select this option when you want shoppers to use the same access revalidation as the Private Store.
  • Custom—Choose this option when you want shoppers to use a custom access revalidation for the Microstore. This enables the Access Revalidation Process.

If the Microstore has the Store Access Type of Email Domain, use the toggle to enable or disable the Access Revalidation Process. When toggled to ON, this process forces the shopper to revalidate their access to the Microstore based on the specified timeline. When a shopper receives a revalidation email, they must click the URL to validate that their email domain is still valid. This ensures that shoppers who no longer have an email address with that email domain cannot access the Private Store.

Store Access The following methods control how shoppers associated with this Microstore access the products. You can combine methods to make your store more secure. You must enable at least one method before you can deploy your store.
Email Address

Allows a shopper to access the Private Store based on their email address.

Use the Email Address toggle to enable or disable email address identification. When toggled to ON, the shopper must provide their email address to access the Private Store.

Note: When enabling Email Address, note that:

  • You can add the email addresses after you create the Private Store.

  • Email addresses are not required to deploy the Private Store.

You can use this access method alone or combined with IP Address, Referral URL, and Email Domain access methods.

Email Domain

Allows a shopper to access the Private Store based on their email domain.

Use the Email Domain toggle to enable or disable email domain identification (for example, digitalriver.com). You can use this access method with IP Address, Referral URL, and Email Address access methods.

If you enabled the Email Domain toggle, create or delete your email domains:

  • To create an email domain, click Create. Enter the name and the domain in the Name and Domain fields, and then click Save.
  • To delete one or more email domains, select the checkbox next to each email domain you want to delete or select the checkbox next to the Email Domain column header to select all email domains. Click Remove and then click Yes.
Email Invitation

Allows a shopper to access the Private Store through an email invitation.

Use the Email Invitation toggle to enable or disable email address identification (for example, jdoe@digitalriver.com). Shoppers can sign in using an email address and a PIN provided by a referring target market member.

Note: When enabling Email Invitation, note that:

  • You cannot combine this access method with any other access method or enable this access method while any other access method is in use.
  • You can add the email addresses after you create the Private Store.

  • Email addresses are not required to deploy the Private Store.

You can use this access method for a Friends and Family program. This access method is similar to the email address access method. However, the system automatically generates an 8-character PIN when the deployed Private Store receives a new email address. An Employee can use the email/PIN combination to invite others tot he Private Store.

You cannot combine this access method with any other access method. See Email Invitation process for more information.

Generic Identifier

Allows a shopper to access the Private Store using an ID and password that is the same for all shoppers.

Use the Generic Identifier toggle to enable or disable the ability to create and use a single user ID and password for all shoppers.

If you enable the Generic Identifier toggle, create or remove your generic identifier:

  • To create a generic identifier, click Create, complete the fields, and click Save.
  • To delete one or more generic identifiers, select the checkbox next to each generic identifier you want to delete or select the checkbox next to the Generic Identifier column header to select all generic identifiers. Click Remove and then click Yes.

You cannot combine this access method with any other access method.

IP Address

Allows a shopper to access the Private Store based on their IP address.

Use the IP Address(es) toggle to enable or disable access based on the shopper's IP address. You can specify a single IP address or a range of IP addresses that can access the Private Store.

If you enable the IP Address(es) toggle, create or remove your IP addresses:

  • To create an IP address, click Create, complete the fields, and click Save.
  • To delete one or more IP addresses, select the checkbox next to each IP Address you want to delete or select the checkbox next to the IP Addresses column header to select all IP addresses. Click Remove and then click Yes.

You can use this access method alone or combined with the Email Address and Email Domain access methods.

Note: This method includes advanced options that allow you to customize the shopper's ability to purchase products. See Browse Products, Account Email Must Match, and Match against for more information.

Referral URL

Allows a shopper to access the Private Store based on a URL provided to the shopper.

Use the Referral URL toggle to enable access based on the URL the shopper clicked to access the Private Store.

If you enable the Referral URL toggle, create or remove your Referral URLs:

  • To create a referral URL, click Create, complete the fields, and click Save.
  • To delete one or more referral URL, select the checkbox next to each referral URL you want to delete or select the checkbox next to the Referral URL column header to select all referral URLs. Click Remove and then click Yes.

You can use this access method alone or combined with the Email Address and Email Domain access methods.

Note: This method includes advanced options that allow you to customize the shopper's ability to purchase products. See Browse Products, Account Email Must Match, and Match against for more information.

Browse Products and Pricing

Choose one of the Browse Products and Pricing options:

  • Account is Required—Choose this option if the shopper must have an account to browse the products and pricing. This is the default setting.
  • Account is Not Required. Only Required to Purchase.—Choose this option if a shopper does not need an account to browse products and price. The shopper only needs an account to purchase products.

This field only appears when you toggle the IP Address or Referral URL to ON.

Account Email Must Match

Indicates whether shoppers must use a shopping account with a login ID that matches one of the email rules within their Microstore.

Choose one of the Account Email Must Match options:

  • No—Choose this option when you do not want account email validation to occur during checkout. This is the default setting.
  • Yes—Choose this option when you want validation to occur during checkout to ensure the email address used as the shopper's login ID matches an email rule for the shopper's Microstore. When they match, the shopper can purchase products. When they do not match, an error message appears and provides the shopper to authenticate as a different shopper.

This field only appears when you toggle the IP Address or Referral URL to ON.

Match Against

Choose one or both of the following options:

  • Email Domain(s)—Choose this option when you want the shopper's login ID to match one of the email domain rules for their Microstore. When they match, the shopper can purchase products. If you choose this option, you must enable and configure the Email Domain access method.
  • Email Address(es)—Choose this option when you want the shopper's email address to match one of the email address rules for their Microstore. When they match, the shopper can purchase products. If you choose this option, you must enable and configure the Email Address access method.

When you select both options the shopper's login ID must match either an email domain rule or email address for the selected Microstore. When either one matches, the shopper can purchase products.

This field only appears when you choose Yes for Account Emails Must Match.

Import and Export Email Addresses or Email Domains
Private Store Select the Private Store you want from the list.
Microstore Select the Microstore you want from the list.
Export Options

Choose the type of file you want to export. Your options are as follows:

  • Blank Template—Choose this option if you want to enter the email addresses or email domains in a blank spreadsheet template.
  • All Email Addresses—Choose this option if you want to edit the existing email addresses and import those changes. This option only appears on the Import and Export Email Addresses page.
  • All Email Domains—Choose this option if you want to edit the existing email domains and import those changes. This option only appears on the Import and Export Email Domains page.
Export Format

When you export email domains from the Import and Export Email Domains page, the system creates a spreadsheet. Choose one of the following spreadsheet format options:

  • Microsoft® Excel® 2007 and Later (XLSX)
  • Microsoft® Excel® 2003 and Earlier (XLS)

When you export email addresses from the Import and Export Email Addresses page, the system creates a text file (TXT) that you can view in any text editor program.

Version Select a version from the list. This attribute only appears on the Import and Export Email Domains page.
File Click Choose File and select the email address spreadsheet you want to import.
Job Name The name of the import job in the Job Queue.
Action Choose the type of action you want the import to perform. Your options are as follows:
  • Add to Current List—Choose this option when you want to add email addresses to the current list.
  • Delete From Current List—Choose this option when you want to remove email addresses from the current list.

How to enable or disable exclusive products for Private Stores

Perform this task when you want to sell exclusive products in your Private Store. You can perform this task at any time.

  1. To enable or disable Exclusive Products for Private Stores:

    1. Select Administration, select Company, and then click Configure Company Settings. The Configure Company Settings page appears.
    2. From the General tab, scroll down to the Private Store Exclusive Products panel and toggle the button to Enabled or Disabled.

      Note: If you have one or more products configured to Available for Private Store Only, the following warning appears when you toggle the button to Disabled:

      Change the Available For setting to Public Store and Private Store for each product and try again.

    3. Click Save.
  2. To configure the availability of individual, multiple, or product combinations for Public Stores and Private Stores:

    1. Select Catalog, select Products, and then click Manage Products.
    2. Complete the search fields under the Search tab and then click Search Search to locate the specific products. The results appear in the Products list.

    3. Click the link under Internal Product Name for the product you want to edit. The Edit Product page appears.
    4. Choose the default locale under Choose a Locale.

      Note: You can only change the Available For options from the default locale. You cannot change the Available For option for subscriptions or product variations.

    5. Under the Details tab, choose one of the following Available For options:

      • Public Store and Private Store—Choose this option when you want the product to appear in both the Public Store and Private Store.
      • Private Store Only—Choose this option when you want the product to only appear in the Private Store.
    6. Click Save.
  3. To check the status of available offers for a product:

    1. Click the Summary tab and scroll down to Offers For This Product. When you choose the Available for Private Store Only option for the Available For attribute, the system displays a warning icon if you set the Offer Available For attribute to Available for Public Shoppers or Available for Public and Private Store Shoppers.

    2. If the warning icon appears, choose one of the following options:

      • Upload changes using a spreadsheet—Select Catalog, select Products, click Import and Export Products. Export the products to a spreadsheet. Open the spreadsheet and change the value to TRUE in the #Is Private Store Only Column for each Product ID associated with the Private Store and then import the spreadsheet.

      • Upload changes using a Bulk Import XML file—Change the value for privateStoreOnly to true for each product associated with the private store. See Bulk Product Upload (BPU) for more information.

How to create a Private Store

You can create multiple Private Stores, and specify a separate start and end dates for each store (for example, right after one another). This provides constant coverage and allows you to adjust the products and pricing as time goes on.

Step 1. Enter general details

  1. Select Catalog, select Pricing, Plans & Private Stores, and then click Create Private Store.
  2. Enter the name you want to use for the Private Store within Global Commerce in the Internal Name field. See Create Private Store attributes for a description of all fields in the Create Private Store wizard.

    Note: The shopper will not see the Private Store's internal name.

  3. Choose one of the following Storefront Name options:

    • Same as Internal Name—Choose this option when you want the Storefront Name to be the same as the Internal Name.
    • Custom—Choose this option when you want the Storefront name to be unique.
  4. Enter a description of the Private Store in the Description field.
  5. Choose the Start Date and End Date for your store.
  6. Click Next.

Step 2. Configure Product & Pricing settings

  1. Complete the fields under Default Settings. See Products & Pricing for a description of all fields in the Create Private Store wizard.

    1. Select a price list from the Base Price list.
    2. Set the Discount toggle to ON or OFF. If you choose ON, choose Percentage Off and enter a percentage value or choose Specific Amount Off and enter an amount value.
    3. Choose the Product or Tag option for Specify Products By.
  2. Optional. Complete the fields under Advanced Settings.

    1. Choose Private Store Price Only if you want to only show the Private Store price or Base Price and Private Store Price if you want to show the base price and the Private Store price.
    2. Choose All Products in Catalog if you want your store show all products that appear in the catalog or Only Products in a Product Group if you want your store to show only products in the product group.
  3. Complete the fields under Search and Filters, and then click Search Search. The search results appear in the All Products list.
  4. If you chose Product for Specify Product By:

    1. Click the All Products tab.
    2. Complete the fields under Search and Filters and then click Search.
    3. Select the checkbox next to each product you want to add to a group or select the checkbox next to ID to select all products, and then click Add to a Group. The Add Products to Group dialog appears.
    4. Select the group you want to use and click Add.

      Note: You can only assign a product to one group. If you try to assign a product to multiple groups, an error message appears.

    5. Repeat step 4 for each additional group.
  5. To manage product groups:

    • To add a product group, click the + icon next to the product group tabs.
    • To delete a product group, hover your cursor over the products group tab you want to delete and then click the x icon.
  6. To configure the product discount for a product group:

    1. Click the product group tab you want to configure.
    2. Enter the name of the product group in the Name field.
    3. Enter a description of the product group in the Description field.
    4. Choose a Discount option and complete the fields.
    5. Optional. Set the Shopper Restrictions toggle to ON or OFF under Advanced Options. If you choose ON, complete the following Maximum Quantity per Shopper, Maximum Quantity and Shopper Can Purchase the Maximum Quantity fields.
    6. Optional. Complete the Line Item Restriction fields under Advanced Options.
    7. Repeat step 6 for each additional product group.
  7. To manage the products in a product group:

    • To find products, complete the fields under Search and Filters, and then click Search Search. The search results appear in the Products list.
    • To add one or more products to your product group, click Add. From the Add Product(s) to Group dialog, click the products you want to add to the product group under All Products and then click Add.
    • To remove one or more products from your product group, select the checkbox next to each product you want to remove or select the checkbox next to the ID call to select all products, and then click Remove.
  8. Click Next. The Microstores page appears.

Step 3. Create your Microstores

  1. Select the theme you want to use for your Microstore from the list. See Create Private Store attributes for a description of all fields in the Create Private Store wizard.

  2. To upload a logo:

    1. Select the theme you want to use for your Microstore from the list. Click Select. The Select An Image dialog appears.
    2. To create a folder for your logos, click New folder, enter the name of the folder, and click Save.
    3. Click the link for the new folder. This is where your logos reside.
    4. To upload a logo, click New File, click Choose File from the New File dialog, and then click Upload. If you are replacing an existing logo, select the Overwrite Existing File with Same Name, If Present. The file appears in the folder.
    5. Click the link for the file to view the file in the Preview window or click View to preview the file in a browser window.
    6. Click Add Selected to add the logo to your microstore. The path to the logo appears in the Logo field.
  3. Choose one of the following options for your default landing page:

    • Private Store Home Page (Default)—Choose this option when you want shoppers to see the Private Store's home page after they sign in. By default, this page displays a list of products.
    • Public Store Home Page—Choose this option when you want shoppers to see the Public Store's home page after they sign in.
  4. If the Microstore has the Store Access Type of Email Domain, set the Access Revalidation Process toggle to ON or OFF. If you choose ON, enter values for the Process Occurs Every and Starting fields.
  5. To manage Microstores:

    • To add a Microstore, click the + icon next to the Microstore tabs.
    • To delete a Microstore, hover your cursor over the Microstore tab you want to delete and then click the x icon.
  6. To configure the Microstore:

    1. Click the Microstore tab you want to configure.
    2. Enter the internal name of the Microstore in the Internal Name field.
    3. Choose one of the following Storefront Name options:

      • Same as Private Store (Custom Name)—Choose this option if you want to use the Private Store's name.
      • Custom—Choose this option if you want to enter a custom name for the Microstore.
      • Same as Private Store (Private Store Home Page)—Select this option when you want shoppers to see the Private Store's home page after they sign in. By default, this page displays a list of products.
      • Custom—Choose this option when you want shoppers to see a custom landing page after they sign in.
    4. Enter a description of the Microstore in the Description field.
    5. Choose Use Default for the Theme if you want to use the default theme or choose Custom and select a theme from the list.
    6. Choose Use Default for the Logo if you want to use the default logo or choose  Custom and select a custom logo for this Microstore.
    7. Choose one of the following options for the Default Landing Page:

      • Same as Private Store (Private Store Home Page)—Select this option when you want shoppers to see the Private Store's home page after they sign in. By default, this page displays a list of products.
      • Custom—Choose this option when you want shoppers to see a custom landing page after they sign in.
    8. If you chose Customer for the Default Landing Page, choose one of the following options for the Microstore Landing Page:

      • Private Store Home Page (Default)—Choose this option when you want shoppers to see the Private Store's home page after they sign in. By default, this page displays a list of products.
      • Public Store Home Page—Choose this option when you want shoppers to see the Public Store's home page after they sign in.
    9. If the Microstore has a Store Access Type of Email Address or Email Domain, select Yes or No to enable or disable the Separate Access From Checkout. When you select Yes, the system performs revalidation against the Domain Access Email ID. This allows the shopper to sign in with one email address or domain and check out with a different one.

      Note: Check with your Store Operations Team to ensure that your site supports this feature.

  7. To configure Access Revalidation for the Microstore:

    1. Choose one of the following options for Access Revalidation Setup:

      • Same as Private Store—Select this option when you want shoppers to use the same access revalidation as the Private Store.
      • Custom—Choose this option when you want shoppers to use a custom access revalidation for the Microstore. This enables the Access Revalidation Process.
    2. If the Microstore has the Store Access Type of Email Domain, set the Access Revalidation Process toggle to ON or OFF. If you choose ON, enter values for the Process Occurs Every and Starting fields.
  8. Configure the store access for the Microstore:

    1. Use the Email Address toggle to enable or disable email address identification. When toggled to ON, the shopper must provide their email address to access the Private Store.

      Note: When enabling Email Address, note that:

      • You can add the email addresses after you create the Private Store.

      • Email addresses are not required to deploy the Private Store.

      You can use this access method alone or combined with IP Address, Referral URL, and Email Domain access methods.

    2. Use the Email Domain toggle to enable or disable email domain identification (for example, digitalriver.com). You can use this access method with IP Address, Referral URL, and Email Address access methods.

    3. If you enabled the Email Domain toggle, create or delete your email domains:

      • To create an email domain, click Create. Enter the name and the domain in the Name and Domain fields, and then click Save.
      • To delete one or more email domains, select the checkbox next to each email domain you want to delete or select the checkbox next to the Email Domain column header to select all email domains. Click Remove and then click Yes.
    4. Use the Email Invitation toggle to enable or disable email address identification (for example, jdoe@digitalriver.com).
    5. Use the Generic Identifier toggle to enable or disable the ability to create and use a single user ID and password for all shoppers.

      If you enable the Generic Identifier toggle, create or remove your generic identifier:

      • To create a generic identifier, click Create, complete the fields, and click Save.
      • To delete one or more generic identifiers, select the checkbox next to each generic identifier you want to delete or select the checkbox next to the Generic Identifier column header to select all generic identifiers. Click Remove and then click Yes.
    6. Use the IP Address(es) toggle to enable or disable access based on the shopper's IP address. You can specify a single IP address or a range of IP addresses that can access the Private Store.

      If you enable the IP Address(es) toggle, create or remove your IP addresses:

      • To create an IP address, click Create, complete the fields, and click Save.
      • To delete one or more IP addresses, select the checkbox next to each IP Address you want to delete or select the checkbox next to the IP Addresses column header to select all IP addresses. Click Remove and then click Yes.

    1. If you toggled IP Address(es) to ON, choose the Advanced Options:

      • Choose one of the Browse Products and Pricing options:

        • Account is Required—Choose this option if the shopper must have an account to browse the products and pricing. This is the default setting.
        • Account is Not Required. Only Required to Purchase.—Choose this option if a shopper does not need an account to browse products and price. The shopper only needs an account to purchase products.
      • Choose one of the Account Email Must Match options:

        • No—Choose this option when you do not want account email validation to occur during checkout. This is the default setting.
        • Yes—Choose this option when you want validation to occur during checkout to ensure the email address used as the shopper's login ID matches an email rule for the shopper's Microstore. When they match, the shopper can purchase products. When they do not match, an error message appears and provides the shopper to authenticate as a different shopper.
      • Choose one or both of the following options:

        • Email Domain(s)—Choose this option when you want the shopper's login ID to match one of the email domain rules for their Microstore. When they match, the shopper can purchase products. If you choose this option, you must enable and configure the Email Domain access method.
        • Email Address(es)—Choose this option when you want the shopper's email address to match one of the email address rules for their Microstore. When they match, the shopper can purchase products. If you choose this option, you must enable and configure the Email Address access method.

        When you select both options the shopper's login ID must match either an email domain rule or email address for the selected Microstore. When either one matches, the shopper can purchase products.

    2. Use the Referral URL toggle to enable access based on the URL the shopper clicked to access the Private Store.

      If you enable the Referral URL toggle, create or remove your Referral URLs:

      • To create a referral URL, click Create, complete the fields, and click Save.
      • To delete one or more referral URL, select the checkbox next to each referral URL you want to delete or select the checkbox next to the Referral URL column header to select all referral URLs. Click Remove and then click Yes.
    3. If you toggled Referral URL to ON, choose the Advanced Options:

      • Choose one of the Browse Products and Pricing options:

        • Account is Required—Choose this option if the shopper must have an account to browse the products and pricing. This is the default setting.
        • Account is Not Required. Only Required to Purchase.—Choose this option if a shopper does not need an account to browse products and price. The shopper only needs an account to purchase products.
      • Choose one of the Account Email Must Match options:

        • No—Choose this option when you do not want account email validation to occur during checkout. This is the default setting.
        • Yes—Choose this option when you want validation to occur during checkout to ensure the email address used as the shopper's login ID matches an email rule for the shopper's Microstore. When they match, the shopper can purchase products. When they do not match, an error message appears and provides the shopper to authenticate as a different shopper.
      • Choose one or both of the following options:

        • Email Domain(s)—Choose this option when you want the shopper's login ID to match one of the email domain rules for their Microstore. When they match, the shopper can purchase products. If you choose this option, you must enable and configure the Email Domain access method.
        • Email Address(es)—Choose this option when you want the shopper's email address to match one of the email address rules for their Microstore. When they match, the shopper can purchase products. If you choose this option, you must enable and configure the Email Address access method.

        When you select both options the shopper's login ID must match either an email domain rule or email address for the selected Microstore. When either one matches, the shopper can purchase products.

  9. Click Next. The Review Page appears.

Step 4. Review your changes

Use the Review step to view the summary of the Private Store you just created. Based on your review, choose one of the following options:

  1. To change the Private Store, click Edit next to the information you want to change, update the field, and then click Save.
  2. To view the offers associated with this Private Store, scroll down to Offers on the Review page.
  3. When you are satisfied with the Private Store, click Finish. The Edit Private Store page appears. Shoppers will not see the Private Store until you deploy the Private Store.

How to deploy a Private Store

After you create a Private Store, you must deploy it to your site for shoppers to access it.

  1. Select Catalog, select Pricing, Plans & Private Stores, and then click Manage Private Store.
  2. Complete the fields under Search and Filters and click Search Search to find the Private Stores.
  3. Verify a checkmark Checkmark icon appears next to the Private Store you want to deploy. If a warning Warning icon appears, there are deployment errors that you must fix before you deploy the Private Store.
  4. Choose one of the following options, to deploy Private Stores:

    • To deploy a Private Store from the Edit Private Store page, click the link under Internal Name in the Private Stores list, click Deploy Private Store on the Edit Private Store page.
    • To deploy one or more Private Stores from the Private Stores page, select the checkbox next to each Private Store you want to deploy or select the checkbox next to the ID column header to select all Private Stores, and then click Deploy.

    The Status changes to Deployed. Shoppers can now access the Private Store based on your defined rules.

How to retire a Private store

A retired A retired Private Store is no longer active on your site. When a shopper tries to access a retired Private Store, they will receive a message stating that the Private Store is no longer active.

To retire a Private Store:

  1. Select Catalog, select Pricing, Plans & Private Stores, and then click Manage Private Store.
  2. Select the checkbox next to each Private Store you want to retire or select the checkbox next to the ID column header to select all Private Stores.
  3. Click Retire and then click Yes. Once retired, shoppers can no longer access the Private Store or make a purchase from the Private Store.

To unretire a Private Store:

  1. Select Catalog, select Pricing, Plans & Private Stores, and then click Manage Private Store.
  2. Select Retired from the Status list and complete the fields under Search and Filters, then click Search Search to find the retired Private Stores.
  3. Click the link under the Name column for the Private Store you want to change. The Edit Store page appears.
  4. Click the Edit button to create a Design version of the Private Store. The status changes to Design.
  5. Apply any needed changes to the Private Store, save it, and then deploy it. 

How to copy a Private Store

You can make a copy of an existing Private Store and then modify the copy as needed to create another Private Store for your site. Copied Private Stores are saved in Design state, and prefixed with the words "Copy of" so you can easily identify the copied Private Store when viewing the Private Stores page.

When you copy a Private Stored, the product groups, rules, product restrictions, and pricing are also copied. The specific activation rules such as the domain or IP addresses you want to allow, or the login credentials shoppers must use to access the plan are not copied and must be set up new for the copied plan.

When you copy a Private Store with tiered pricing, the system checks products in the groups within the Private Store to ensure they are enabled to use tiered pricing for a Private Store (see Creating a volume license plan for more about how to enable a product to use tiered pricing in Private Stores). If you do not enable a product for tiered pricing in Private Stores, the system removes that product from the group. A message appears on the screen notifying you that these products no longer appear in your Private Store.

To copy a private store:

  1. Select Catalog, select Pricing, Plans & Private Stores, and then click Manage Private Store.
  2. Complete the fields under Search and Filters, then click Search Search to find the Private Store you want to copy.
  3. Select the checkbox next to each Private Store you want to copy or select the checkbox next to the ID column header to select all Private Stores.
  4. Click the Copy button to copy the Private Store. The system copies the Private Store and refreshes the screen to display the copied Private Store. Note that the name of the copied Private Store includes "Copy of" at the beginning of the name.

Email Invitation process

The Email Invitation access method allows employers an opportunity to set up a plan that employees can share with friends and family members. Once you deploy this access method and add email addresses to the Private Store, the following occurs:

  • The individuals included in the Email Address import will receive a Welcome email.
  • To provide access to the Private Store, the employee will send the details about the Private Store to their friends and family, including the email address and PIN included in the Welcome email.
  • The invited friends and family (shoppers) can then access the Private Store and shop for items on the Private Store.
  • When a shopper submits the initial order, the shopper receives the Request Submitted email, followed by the Approval Request email.
  • On approval, the order completes, and the shopper receives the Order Confirmation email.
  • Once a shopper's initial order is approved, no further confirmations are required. The shopper can shop and submit orders without requiring additional approvals.

How to manage Private Store email addresses

Importing email addresses

You need to add email addresses to your Private Store if you chose the Email Address or Email Invitation access methods. To import email addresses for the Email Address and Email Invitation access methods:

  1. Choose one of the following options:

    • Select Catalog, select Pricing, Plans & Private Stores, and then click Import and Export Email Addresses. The Import and Export Email Addresses page appears.
    • From the Edit Private Store page:

      1. Click Import and Export Email Addresses. The Import and Export Email Addresses page appears.

        Requirement: You must enable the Email Address access method (toggled to ON) in your Private Store to enable this button.

      2. Select the Private Store and Microstore under Import Email Addresses.
  2. Select the Blank Template option for Export Options.
  3. Click Export. The text file opens in Notepad. The Text file includes instructions and the following attributes: Private Store ID, Private Store Name, Microstore ID, Microstore Name, Site ID, Date Downloaded.
  4. Add each email address on a separate line below the last line of instructions. These email addresses belong to the shoppers who you want to give access to your Private Store.

    Important: Do not delete or change any existing rows in the blank template. If you change or delete the original content of the blank template, an error will occur when you upload it, or the system will not process some of the email addresses.

  5. Save the file with the desired name to a known location.
  6. From the Import and Export Email Addresses page, select the Private Store and Microstore under Import Email Addresses.
  7. Click Choose File and select the template text file you want to upload.
  8. Enter the name of the job in the Job Name field.
  9. Click Import. The Job Queue page appears. When the Status shows Completed, it indicates the email addresses imported successfully. Note that you may have to refresh the page to see the most recent status.

Exporting email addresses

You can export the email addresses assigned to a Private Store.

To export email addresses:

  1. Choose one of the following options:

    • Select Catalog, select Pricing, Plans & Private Stores, and then click Import and Export Email Addresses. The Import and Export Email Addresses page appears.
    • From the Edit Private Store page:

      1. Click Import and Export Email Addresses. The Import and Export Email Addresses page appears.

      2. Select the Private Store and Microstore under Export Email Addresses.

  3. Enter the name of the job in the Job Name field.
  4. Click Export. The Job Queue page appears. When the Status shows Completed, the email addresses have been successfully exported. Note that you may have to refresh the page to see the most recent status.
  5. Click the link under the Name column. The text file opens in Notepad. The Text file includes instructions and the following attributes: Private Store ID, Private Store Name, Microstore ID, Microstore Name, Site ID, Date Downloaded.

    • Export a blank template for the Private Store and enter the email address you want to remove from the Private Store in the blank template.
    • Export all email addresses for the Private Store and then delete the email addresses you do not want to remove from the Private Store from the text file.

    Important: Do not delete or change any existing rows in the blank template or text file. If you change or delete the original content of the blank template or text file, an error will occur when you upload it, or the system will not process some of the email addresses.

  2. Save the file to the desired name to a known location.
  3. Select Delete From Current List for Actions.
  4. Click Choose File and select the template text file you want to upload.
  5. Enter the name of the job in the Job Name field.
  6. Click Import. The Job Queue page appears. When the Status shows Completed, it indicates you successfully deleted the email addresses from the Private Store. Note that you may have to refresh the page to see the most recent status.

Resetting PINs for Email Invitations

You can reset the PIN for email addresses on an Email Invitation Private Store.

  1. Choose one of the following options:

    • Select Catalog, select Pricing, Plans & Private Stores, and then click Import and Export Email Addresses. The Import and Export Email Address page appears.
    • From the Edit Private Store page:

      1. Click Import and Export Email Addresses. The Import and Export Email Addresses page appears.

        Requirement: You must enable the Email Address access method (toggled to ON) in your Private Store to enable this button.

      2. Select the Private Store and Microstore under Export Email Addresses.
  2. Select All Email Addresses for Export Options.
  3. Enter the name of the job in the Job Name field.
  4. Click Export. The Job Queue page appears. When the Status shows Completed, it indicates the email addresses exported successfully. Note that you may have to refresh the page to see the most recent status.
  5. Click the link under the Name column. The text file opens in Notepad. The Text file includes instructions and the following attributes: Private Store ID, Private Store Name, Microstore ID, Microstore Name, Site ID, Date Downloaded, and all the email addresses and PINs for the Private Store.
  6. In the text file:

    • Remove the rows containing the email addresses whose PINs you do not want to reset.
    • Remove the comma (,) and the PIN for the remaining email addresses.
  7. Save the file to the desired name to a known location.
  8. On the Import and Export Email Addresses page:

    1. Select the Private Store and Microstore under Export Email Addresses under Import Email Addresses.
    2. Enter the name of the job in the Job Name field.
    3. Click Choose File and select the template text file you want to upload.
    4. Click Import. The Job Queue page appears. When the Status shows Completed, it indicates you successfully reset the PINs associated with the email addresses in the Private Store. Note that you may have to refresh the page to see the most recent status.
    5. The system will send a new Welcome Email to the email addresses with reset pins.

How to manage Private Store email domains

Importing email domains

You need to add email domains to your Private Store if you chose the Email Domain access method. To import email domains for the Email Domain access method:

  1. Choose one of the following options:

    • Select Catalog, select Pricing, Plans & Private Stores, and then click Import and Export Email Domains. The Import and Export Email Domains page appears.
    • From the Edit Private Store page:

      1. Click Import and Export Email Domain. The Import and Export Email Domains page appears.

        Requirement: You must enable the Email Address access method (toggled to ON) in your Private Store to enable this button.

      2. Select the Private Store and Microstore under Import Email Domains.
  2. Select the Blank Template option for Export Options.
  3. Choose the spreadsheet you want an then click Export.
    1. Choose one of the following options:

      • Microsoft® Excel® 2007 and Later (XLSX)
      • Microsoft® Excel® 2003 and Earlier (XLS)
  4. Click Export. When prompted, save the spreadsheet template to your computer.

    Important: Do not rename the spreadsheet if you intend to import the spreadsheet into Global Commerce.

  5. Add each email domain and domain name in the table below the last line of instructions. 

    Important: Do not delete or change any existing rows in the blank template. If you change or delete the original content of the blank template, an error will occur when you upload it, or the system will not process some of the email domains.

  7. From the Import and Export Email Domains page, select the Private Store and Microstore under Import Email Domains.
  8. Select the version from the Version list.
  9. Click Choose File and select the template spreadsheet you want to upload.
  10. Enter the name of the job in the Job Name field.
  11. Choose the Add to Current List option for Action.
  12. Click Import. The Job Queue page appears. When the Status shows Completed, it indicates the email domains imported successfully. Note that you may have to refresh the page to see the most recent status.

Exporting email domains

You can export the email domains assigned to a Private Store.

To export email domains:

  1. Choose one of the following options:

    • Select Catalog, select Pricing, Plans & Private Stores, and then click Import and Export Email Domains. The Import and Export Email Domains page appears.
